A WAY TO BRING FOCUS TO YOUR SEASON – Lead your day, lead your team

Do you want your team to have more focus this season? Would you like to improve productivity and accountability? What about keeping team spirit and team morale high even when you’re all flat out looking after your visitor?  And seasonal staff – wouldn’t it be great to get them fully integrated in your team with everybody appreciating just how important they are to the visitor experience?  A daily Team Huddle may be the very thing to help you do that.

Could another meeting possibly deliver that much benefit?? I know what you’re saying “We’re right in the middle of the high season - we don’t have time for meetings – it’s all hands on deck - we won’t be having meetings again until the Autumn!!”

Before you dismiss the idea, just read on a little further. It’s precisely because you’re so busy that the Team Huddle is important.  The tourism season is a rollercoaster – it’s intense with rapidly changing priorities and you have your team have lots of different people to deal with, all day long.  You often don’t know what’s going to come up next and you focus on just hanging on until it’s all over and you can breathe again.  It can feel like the season is just out of your control

However, there are lots of things you do control.  The Team Huddle is a way to ensure that you and your team get intentional about those very things and set yourselves up for success every single day.  Many people in a wide variety of industries and organisations around the world have come to regard this daily check-in as the single most effective 5-10 minutes that teams spend together. 

What is a Team Huddle?

Basically, it’s a short, focused meeting of a team that lasts 5-15 minutes, depending on the size of your team. It usually takes place at the same time for the same duration every day i.e. it becomes a team routine.  It’s usually a stand-up meeting – focused, brief and to-the-point

What’s the purpose of a Team Huddle?

The purpose is to check in with team members about what the day will look like.  It’s a chance for your team to share information with each other in real time and also to share any roadblocks they expect to encounter.  It’s not about planning or problem-solving (often ideas and solutions are shared by team members once the meeting is over).  It’s about updating and information-sharing.  It keeps team members informed of important information in real time.

Team Huddles were inspired by sport and the way coaches engage with teams immediately before and during games.  It’s how they share information, tactics and plans once the game is on to ensure the best possible result.  Just like in sports, your Team Huddle can leave each team member clear on what their next action is, clear on their main priority for the day, and energized and accountable for taking that action.  The meeting can accomplish  four main things:

-          Create motivation

-          Organize the day’s schedule

-          Identify priorities

-          Generate efficiencies

10 Tips for Running a Team Huddle

1.       Have one person as the designated facilitator.

2.       Make it a stand-up meeting.  You’re sharing information, not solving problems.  Keep the huddle quick, fast-paced and to the point. 

3.       Keep it short – 10 -15 minutes maximum.

4.       Start on time, finish on time.

5.       Keep it consistent- same time, same place, same agenda. Be predictable.

6.       Ensure everyone contributes and everyone is heard.

7.       Do not problem-solve – schedule another time to do that.

8.       Focus only on today – not yesterday and not tomorrow.

9.       Same Agenda

a.       What wins did we have yesterday?

b.       What’s my Number 1 Priority today?

c.       Where am I stuck?

d.       1 business metric update.

10.   Pick a time that suits most people taking account of varying shifts.
